OrderTrac is web based, which means you access it in any browser just like any other website. However, if you like having OrderTrac as a dedicated app installed on your computer, there is a way to do that so you have quick access to OrderTrac.
First, navigate to your OrderTrac dashboard. Next click the 3 dots on the top right to access the settings menu > More Tools > Apps > Install this site as an app:

Next, you can give your app a name. The default will be something like OrderTrac | Dashboard if the dashboard is the current page you are on.

Next, Edge may prompt you for permission to add the app to the start menu, taskbar, and to create a desktop shortcut. Check the box for the options you want and click Allow:

You may be prompted with another notification asking for permission to pin the app to the taskbar. Click Yes:

Now you will see an OrderTrac icon on your dashboard, start menu and/or taskbar. If you click the icon, it will open OrderTrac in a dedicated window:

Follow the same steps above, but you can find the option to save the website as an app under the 3 dots on the top right > Cast, Save, & Share > Install page as app..
Once again, you will be prompted to select a name for the app:

This will automatically place an icon on the desktop which you can use to quickly open OrderTrac
Are you a little confused about the difference between ID types? You are in the right place. They each have a purpose!

An Item ID is like a serial number for each individual item you order. An item ID is auto generated for each item created.
If you ordered a chair a week ago, and then you order another identical chair today, they will each have a different item ID because they each need to be tracked separately. Item ID's are how OrderTrac keeps track of the status of each item you order. The item you ordered a week ago may have a status of On Order, and the estimated arrival date is June 1st. However the item you ordered today may need to be ordered yet, and will have a different estimated arrival date.
A stock ID is similar to an item ID, but it can be the same for each identical item you order.
In the example above, even though the 2 items will have a different item ID, they will have the same Stock ID since they are identical. If you do not specify a stock ID when creating an item, a new stock ID will automatically be generated.
Each item added to the catalog must have a unique Stock ID as well.
The SKU is an optional field you can supply when creating an item and is used to track the model number. Unlike the stock ID and item ID, the SKU can have both letters and numbers.
You can enter whatever you want into this field. Most users opt to create a formula for their skus, such as putting the vendors code first, followed by a dash, follow by the vendor model number of the item. If the vendor code is "RHY" and the model number is "AC-2992", the SKU would be "RHY-AC-2992".
Entering a SKU allows you to track sales by model number. For example, if you wanted to know how many of that specific chair you sold, you can run the Sales by SKU report to see you sold 36 items with that SKU last year.
If you want the SKU to be required for all items created in OrderTrac, you can go to Settings > Account Settings > General and check the Require Item SKU box. This will ensure no users forget to enter the SKU.
Solution: When installing the printer, make sure to select Line Printer Daemon - LPD protocol, NOT the air print protocol. Then with the Select Software dropdown, choose the Star printer model.

If you try to print a receipt using the direct print method and the print preview page is stuck on "Sending to printer" like this:

There may be an issue with the certificate that is installed on your device. First, shut the printer off and while holding the Feed button, turn the printer back on. A receipt will print with your IP address at the bottom. (See instructions here). Make sure this is the IP address entered in the POS register printer settings dialog:

If you are using an iOS device, try follow these instructions to delete the existing security certificate off the ipad and reinstall using the direct print settings:
✅ Delete the certificate profile
On the iPad:
Settings → General → VPN & Device Management → Profiles
Delete the Star printer cert if it’s still there.
If you don’t see it, that’s fine — iOS sometimes hides it when it’s half-deleted.
✅ 2. Clear Safari’s TLS cache (this part people miss)
Safari holds onto certificate details even after you delete the profile.
Go to Settings → Safari → Clear History and Website Data. This clears cached TLS sessions, including cert fingerprints Safari still trusts.
✅ 3. Hard-reboot the iPad
Don’t skip this — iOS only fully resets some trust caches after a restart. Hold Power + Volume → Slide to power off → Turn back on (or follow the typical restart process for your device)
✅ 4. Reinstall the new certificate from the printer’s new IP address
Update your router to reserve the previous IP address for your printer. This involves logging into your router settings, selecting the printer device, and specifying which IP address should be assigned to that printer. Tell it to use the old IP address that was working. Click Save and then restart your printer. Print network configuration receipt to make sure the old IP address is assigned to it again. Now the printing should work if the certificate for that IP address is still installed.
If your dymo printer stops working, try the following solutions

Check for the basics first:
Apparently Dymo Connect is not fully compatible with Mac. The Dymo Connect software works if just printing from Dymo Connect, but the mechanism that is required for the browser to send print jobs to Dymo Connect cannot circumvent the security of the Mac which prevents the job from printing. At this time, Dymo has not provided a solution or an update with a fix. Trying installing on a Windows computer.
You may see a pop up that says "app.ordertracinventory.com wants to look for and connect to any device on your local network". Click Allow to allow access.
You can also access this setting by clicking the settings icon in the very left of the URL bar, then make sure Local network access permission is enabled. This permission is required to be enabled in order to print to local network printers:

Edge users may also see a pop up that says "app.ordertracinventory.com wants to look for and connect to any device on your local network":

You must click Allow, as the browser needs to be able to send a signal to the printer on your local network in order to print.
You can always access this setting by clicking the lock icon in the address bar, then set Local network access to Allowed:

If the error still shows when trying to print from OrderTrac, it is probably due to a known issue with Dymo Connect that causes the browser to not be able to communicate with the printer. This is a bug that has been submitted to Dymo but their support is not great, and they have not provided a fix for it.
There is a service that runs in the background of your computer that listens for print jobs from your browser and sends it to Dymo Connect to print. Sometimes if this service is broken or stopped, the browser cannot communicate with the printer.
In order to test if this is the problem, enter the following url in the url bar of your browser and click Enter:
https://127.0.0.1:41951/DYMO/DLS/Printing/GetPrinters
If the browser is not able to connect to Dymo Connect, you will see the following error "This site can't be reached":

To resolve this issue, try the following steps to restart the Dymo Web API service:
1. In your taskbar, click the arrow icon to show all the hidden icons, then right click the Dymo icon, and click Exit: (If you do not see the Dymo icon, continue to the next step)

2. Next, go to the following location in the File Explorer (C:\Program Files (x86)\DYMO\DYMO Connect) and double click the DYMO.WebApi.Win.Host.exe file:

3. Now try the https://127.0.0.1:41951/DYMO/DLS/Printing/GetPrinters link again to see if the printers are listed. If so, you can refresh the page in OrderTrac and try printing again, that printer should be recognized now.
If your printer still is not recognized in the browser, try the following:
Open Dymo Connect and make sure the printer shows as Online again. You should see it on the bottom left of the screen:

Enter this URL in your browser again:
https://127.0.0.1:41951/DYMO/DLS/Printing/GetPrinters
This time, you should see a list of installed printers:

If you see this list text beginning with <Printers>....., the browser is now able to communicate with Dymo Connect and is able to see a list of installed printers.
Now you can return to OrderTrac, refresh the page, and try printing a label again.
If you are able to see the printer, but error is displayed when trying to print, try the following:

Printing a price tag just requires you to create a fillable PDF form. You can use any PDF editing software to create a PDF form. Note this is different than a PDF viewer which are widely available for free. Most PDF editors such as Foxit PDF editor, Nitro PDF, or Adobe Acrobat Editor are paid products and are very high quality. Some free options include OnlyOffice, Libre Writer and PDFill. OnlyOffice is a high quality free option so we will use that option for this guide.
Each of the options below walk you through the process of creating a new PDF file and adding fields to the file with the correct names so OrderTrac knows what data to place in each field. Here are the list of available fields names which can be referenced when following the instructions for the different PDF editors:

item_option:<option> - sets the value of an item option in the item description. For example, if you have an option called Stain, set the field name to item_option:stain .This allows you to pull just the value of that option.
date - sets the current date (ie 7/4/2026)
datetime - sets the current date and time (ie 7/4/2025 11:56 am)
When Print Qty option is selected:
item_customer - will show customer name for customer items, and will print INVENTORY for inventory items
item_salesorderid - will only print a value for customer items
item_salesorderdate - will only print a value for customer items
Only office is a free and easy to use office software, very similar to Microsoft office. Of all the tools tested below, this is the easiest and there the recommended option.
When you first open OnlyOffice, you can create several different file types. Select the PDF option:

This creates a brand new PDF file. First, set the document size by selecting the Layout tab, then select the Size menu, and from there you can pick a standard size, or select a custom size. Here we selected the custom option and entered 4"x6".

Now we are ready to add fields to our PDF form. Select the Forms tab. First we will add a text field by selecting the Text Field button, and select Fixed:

This will add a input field to the PDF. You can now drag it anywhere on the page and even resize it. Next, make sure the field settings box is displayed on the right. Click the input field icon as highlighted below to make the settings appear if you don't already see it.
The first thing you need to do is name the input. This is how OrderTrac knows what data to put in this field. Enter one of the allowed names into the Key field as shown below. The key you enter must be one of the allowed values specified at the top of this article.

Next, you can format the text of the input using the font size and style inputs on the Home tab, or you can use the settings found in the input settings box on the right, such as the AutoFit field which will make the text fit in the box so it is as big as possible while still fitting.
Once you have the input field formatted how you like it, you can right click and copy and paste that field to duplicate it and create another, or you could just create another field from scratch using the same steps as above.
You can even insert static text on the label for text that does not change, such as a $ sign in front of a price field, or even your logo at the top. Here we used Insert > Text Art for the dollar sign, and Insert > Image for the logo. You may have to update the wrapping style to Behind Text as highlighted below in order to freely move the image anywhere on the page. We also checked the Multiline checkbox in the input settings box for the description field to allow the text to wrap to a new line in that field.

Once you have the label how you like it (and ALL text fields have an allowed name), click File > Save As and give the tag a name and save it in a location you can remember. You may want to edit it later.
Follow the steps in the Printing a tag in OrderTrac section at the bottom of this page for instructions on how to upload this PDF file to OrderTrac and print a tag.
PDFill is a great free tool to create custom tags. PDFill can be downloaded here. The free version includes all the features you need to create a tag. Once installed, create a new tag by clicking File > New Project with Blank Page

You will then see the page setup dialog where you can specify the size of your tag. Letter is selected by default, but if you want to create a custom size, choose Custom from the PDF Page Size dropdown, then enter the width and height, and click OK.

Once the new document is created, select the Text Form button from the toolbox and click and drag on the document to create the new text field.

Once the field has been created, the field properties dialog will show. If you check the Show PDF Form Field’s Name checkbox, each field will be easily identifiable while editing the tag. This will not show on the final printed tags. The Field Name (1) field MUST be one of the allowed values specified at the top of this article.

Use the Font Properties (2) section to customize the field font size, color, style etc. Click on the Options tab at the top to view more options such as text alignment and the ability to enable Multiple line text which you will probably want to do for the description field.

Click OK to finish adding the field. You can move and resize the field. Resize by selecting the field and dragging the white dots on the border. You can move the field by dragging the border or by using your arrow keys.


Once finished, you should have a tag that looks something like this:

You may want to add more text fields as labels such as a dollar sign for the price or a “Qty” label for the qty field. Don’t worry about the background being pink, this will not show on the printed tag.
Once all your desired fields have been added to the tag, you are ready to export it as a PDF file. Click File > Save the edited PDF as (or click the blue PDF button on the main toolbar) to save your tag.

The Export options dialog will display. Click the Save PDF as … button to save the PDF.

You will then need to enter a name and a location to save your tag. Choose a name of your choice for your tag and place the new pdf in a location you can remember.
You will also want to click File > Save project for later editing to save the project in case you want to modify the tag later without having to start over from scratch.
Libre Office can be downloaded from their official website. Libre Office is a free open source alternative to Microsoft Office, and includes a word processor (Writer), a spreadsheet (Calc), and other office applications. The version used in this article is 6.2.8, which is the latest stable version at this time. Once installed, we will open Libre Writer by clicking Start > Libre Office > Writer.
Once you have Writer open, the first step will be to verify the form editor toolbar is visible. To enable the Form Editor toolbar, select View > Toolbars > and verify the Form Controls option is selected. This will display the Form Control toolbar if it is not already shown.

Next, you will want to set up your page settings. If your tag is a full size sheet of paper, you can skip this step. However, if your tag is smaller, select the Page Settings icon on the right side of the screen to display the page settings options. Set the page width and height to the desired size.

Now we are ready to add fields. Watch the following clip to see how to add text fields to the tag. Select the Edit Mode icon in the top right of the Form Control toolbar, then select the Text Box option to add a text box. Drag the desired text box size onto the tag. Double click the newly created field to edit the field properties. Set the field name to one of the allowed values specified at the top of this article.

OrderTrac will replace the entire contents of each field with data from OrderTrac. So if you would like for there to be a label before a field, such as Price: $123, you cannot enter Price: in the price field, as it will get overwritten with the price. You will need to add a separate text field for the price label. You can either use a Textbox field or the Label field (the icon that looks like a price tag) for this.
Once all fields have been added to your tag with the desired formatting and the correct names set, you are ready to export the tag as a PDF file. Click File > Export As > Export as PDF… to display the export options dialog.

Select the following options. Verify Create PDF form is checked, and verify Archive PDF/A-1a is not checked, and click Export. Choose a name for your tag and place the new pdf in a location you can remember.

To add a barcode to your tag, just select a barcode font for the field in your form that show display as a barcode, like the item_id_barcode field. You can download the Code 3 of 9 (also called Code39) font here or here. NOTE: The font downloaded includes 2 fonts: 3 of 9 Regular (free3of9.ttf) and 3 of 9 Extended (fre3of9e.ttf). Install the 3 of 9 Extended option, as this allows lower case text characters in your barcode (ideal for SKU's).
Once downloaded, open the downloaded Zip file and double click the contained .ttf font file. This will show you a preview of the font, with a Install button at the top. Click Install to install the font onto your computer. You may now need to close your pdf editing program (Libre Writer, PDFill, etc) and restart in order for the new font to be available.


Then set the field to the new barcode font (you may need to restart your PDF application to pickup up the new font):

Now that you have created a custom tag, you first need to upload it to OrderTrac. Navigate to Account > Tag Templates and click on New Template. Enter a name for the template and select the file you created in the steps above. Click Save to save the template.

Now you can navigate to the Items page, select the options menu next to an item, and click Print Tag.

A dialog will show with all the fields pre populated. You can make any changes to any of the fields. Once ready, click Print.

A preview of the tag will display on a new tab. You can click the print icon on that tab to print the tag to your printer.

That is it! This functionality allows you to use pre printed tags that have blank spaces left for the tag values. This will place the values in the correct location on the tag so they are ready to display.
OrderTrac supports printing Dymo LabelWriter labels for Items and POS Items. Labels can contain information such as item description, barcodes, vendor name, customer name etc. You can create your own custom label using any of the available label sizes with any of the desired supported data on the label.
First, you must have Dymo Connect installed. Once installed, open Dymo connect. First, select the desired label size on the bottom right (1). Then, add objects to the label by selecting the Add button (2). The most common objects would be text objects, barcodes, or even the image object to add your logo. Once an object has been added, select the object on the label and update the value of that object to one of the allowed values as defined below (3). By setting the object value to an allowed value supported by OrderTrac, it allows OrderTrac to recognize that object and replace the correct value. For example when it sees "VENDOR", it knows to replace that text with the vendor name of the item being printed.

For regular item labels, the allowed object values must be one of the following:

Once you have your label set up as you desire, click File > Save As.. on the top left and save the template file to a location you will remember.
Now that the label template is created, you need to upload it to OrderTrac. In OrderTrac, click on Account > Label Templates. Click on New Label Template on the top right.

Enter a name for the template, select Item for the type if the template is for a regular item, or POS Item if the template is for POS items. Select the template file you saved earlier. Click Save and the template will be uploaded for you to then use!
If you already have a label template added in OrderTrac and just want to make a change, you can first download the label file by clicking the options menu button and select Download:

This will save a file to your computer in your downloads folder. Double click the file to open it in Dymo Connect. Make any changes you want, such as adding new fields, resizing fields, or updating existing fields using the instructions found above. Once all changes are complete, click Save in Dymo Connect to save the changes to the Dymo file.
Now click the options menu next to the label template and click Edit. Now click the Choose File button and select the Dymo file you just updated (it probably is still in your downloads folder unless you saved it to a new location).

Once you have selected the file, click Save. The updated file has now been uploaded to OrderTrac and labels printed with the new template should reflect the updated label.
So you just created an account with OrderTrac - now what? Well, you are in the right place because this guide will help you get started. Just follow along with the steps below to get your account set up.
Under the Settings section of the main menu, you will find the following pages where you can update settings. These settings apply to all locations under your account.
First, you need to set up a few account settings. On this page, you can set you company name, address, phone, etc. At the bottom of the page you will set your desired start values for purchase orders, sales orders, and items. If you don't have any preference, just leave them at 1000. The first item you create will have item id 1000, then the next will be 1001, then 1002, etc.
There are a list of categories created by default, but you may want to update these. From here, create or update the categories to fit your needs. Categories are very helpful for reporting. You can identify if a category is commissionable or not which allows you to run reports later on to calculate how much commission is owed to employees based on the total sales for commissionable categories.
If you collect sales tax, set up your tax rates here. You can create a separate tax code for each tax authority you pay taxes to. When creating a tax, you can select Default Item Tax if you want that tax to be selected by default when creating new items.
This is where you will add all your users. Each user will need their own login. When you add a user, that user will receive an email at the email you enter with an invite link. Once they click that link, they will be prompted to set up a password which is what they will use to log in.
User groups is how you can manage permissions. If you want certain users to have access to certain feature in OrderTrac, you will need to create a user group for each group of users that will have the same access levels. For example, you could have an Administrator group that has access to all features. Then you can have a Managers group which has access to all features except for maybe account billing which is part of the Account Administrator permission. Then you could have a Salesperson group which does not have access to certain reports to dashboard sales data, and so on.
This is where you will add a list of all vendors. You will add all your manufacture, finish, transport, and POS vendors. When adding a vendor, select the vendor type to indicate what services that vendor offers. Fill out the vendor name, email, fax, etc.
You can also specify a lead time specific to that vendor (for manufacturers), so when creating purchase orders later on for this vendor, the estimated pickup date will automatically be selected based on the vendor lead time. If no vendor lead time is specified, the global lead time will be used (Location > General Settings).
When adding a manufacture vendor, you can opt to select a default finish vendor. When created purchase orders later on, when a new PO is created for this vendor, the finish vendor will be automatically selected based on the default finish vendor you set.
Each account can have multiple locations. By default, when you first create an account, you will only have 1 location. The following settings will only apply to the current active location. To change to a different active location, click the location name at the top of the page and select the location to switch to.
On the Location tab of the location settings page, you will set the name of your store location - if you only have 1 location, it could be the same as your company name. If you have multiple location, it will be a name that will identify that specific location. You will set the address, email, phone, fax etc for that location. At the bottom you can upload a logo and select a primary color, both of which will be used on printed sales orders, purchase orders, etc.
On the General tab of the location settings page, you can specify a global lead and transport time for this location. Global lead time is used to calculate the estimated pickup date when creating purchase orders if no vendor specific lead time is set on the vendor page (Account > Vendors). Global transport time is used to calculate the estimated arrival date by adding the transport days to the lead time days. Transport time would be the number of days is usually takes from the time the goods are picked up from the vendor to the time they arrive at your store.
This is where you can set up an integration with Interfax, which is a serve OrderTrac integrates with in order to send faxes directly through OrderTrac. Once you have created an account on their website, enter your credentials on this tab. From then on, you can click the Fax button on purchase orders to fax PO's directly to the vendor.
The Sales orders tab of general settings is where you can specify some options for how sales orders are printed, such as if the estimated arrival date should be printed on sales orders. You can also specify if you pay commissions based on the sales order created date or the date it was completed.
This tab includes options on what data should be printed on purchase orders, as well as a custom footer that will be printed at the bottom of all printed purchase orders. The footer text can be formatted to your liking by updating font size, bolding, text color, background color, etc.
The Payment processor settings page found in the Location section of the main menu is where you can connect to our integrated payment partner, Basys. This allows you to process payments directly in OrderTrac which drastically streamlines taking credit card payments. Here are dedicated instructions on how to connect to Basys.
Emails sent through OrderTrac can have a default template. You can edit the default template used for sending sales orders, purchase orders, pos receipts, etc. Placeholders can be used to personalize each email sent. For example, you can beging the sales order email with: Hello {{customer_first_name}}. By clicking the placeholders to the right, it will automatically insert the placeholder text in brackets. Later on, when the email is sent, it will automatically replace the {{custome_first_name}} with the customers actual first name, to read like "Hello Bob".
This is where you can customize the fine print that is printed on sales orders. A partial page policy is what appears on the bottom left corner of a sales order, next to the payments. This space is limited so the text in this policy would probably on the shorter side. A full page policy is what will be printed on the back of the page if you enable duplex printing on your printer, otherwise it will be printed on the next page using the full page. You can create policies that apply just to certain copies (store copy, customer copy, etc) and even policies that only apply to quotes.
You are now ready to add your inventory! On the main menu under Items, click Order Inventory. This is where you can add a new inventory item. Add the item details, price, category, vendor, etc and click Save. If you are adding multiple inventory items, click Save and add another to quickly add more inventory. Each inventory item added will automatically be added with a status of To Be Ordered which means it is ready to be added to a purchase order and sent. If this particular item is already on order or already received, just to to the Items page (Items > Search Items), click on the Inventory To be ordered filter, and update each of the items to the desired status by clicking the options menu next to each item.
POS items are for your inventory that is smaller non furniture items. Think lamps, artwork, food, rugs, etc. This inventory is tracked more traditionally and don't involve any special orders. You will add each POS item by clicking POS > POS Items > New Item. Add the UPC, description, price, quantity available, etc and click Save.
Now you are ready to start making sales! When a new sale is made, create a new sales order. Select the customer, and add the item to the sales order. When adding an item, you can choose the item type at the top of the sales order which in includes:
Likewise you can navigate to Point-of-sales > POS Register to create a new POS transaction. Just scan the items, record the payment, and you are done!
You are now well on your way to using OrderTrac to manage your day to day activities.

Once you have completed your onboarding process with Basys, they will send you an email with your parameter sheet. This sheet will include you public key and private key which are needed in order to process payments directly in OrderTrac
First, on the main menu, click Settings > Payment Processor. Next to Basys, click Connect.

Next, select the Live Mode radio button at the top, then enter the Public key and Private key into the respective fields.

Finally, Click Save.
That is it! You are now ready to start processing payments in OrderTrac. If you have purchase a terminal from Basys, you will need to set up Terminals in order to associate your credit card terminal with each device.
When taking a payment on a sales order, just click the Add Payment button. In the dialog that pops up, select Credit/Debit Card as the method, and enter an amount. From there you can choose Enter Card to manually enter the card date, or Terminal to collect payment via your Basys terminal.
If you select Enter Card, a credit card form will appear where you can enter the card number, expiration, and cvv. You can use a magnetic card reader to swipe a card and fill out this form, or you can manually enter the data.

If you choose Terminal, you can click Save and the payment amount you entered will appear on the terminal's screen. Once the customer swipes/taps/enters the credit card, the payment will complete and the dialog will close.
Taking payments is as simple as that! This same process can be followed when taking payments from the POS Register.
Once you have completed your onboarding process with Fiserv, they will send you an email with your account credentials. This email will include you MID, username, and password which are needed in order to process payments directly in OrderTrac
First, on the main menu, click Settings > Payment Processor. Next to Fiserv, click Connect.

Next, select the Live Mode radio button at the top, then enter the Public key and Private key into the respective fields.

Finally, Click Save.
That is it! You are now ready to start processing payments in OrderTrac. If you have purchased a terminal from Fiserv, you will need to set up Terminals in order to associate your credit card terminal with each device.
When taking a payment on a sales order, just click the Add Payment button. In the dialog that pops up, select Credit/Debit Card as the method, and enter an amount. From there you can choose Enter Card to manually enter the card date, or Terminal to collect payment via your Basys terminal.
If you select Enter Card, a credit card form will appear where you can enter the card number, expiration, and cvv. You can use a magnetic card reader to swipe a card and fill out this form, or you can manually enter the data.

If you choose Terminal, you can click Save and the payment amount you entered will appear on the terminal's screen. Once the customer swipes/taps/enters the credit card, the payment will complete and the dialog will close.
