Payment Processing Fees

OrderTrac allows you to automatically add processing fees to credit card payments to help you recoup the high cost of accepting credit card payments.

Create a processing fee rule

First, you need to create a new rule. Under Settings on the main menu, click Payment Processing Fees, then click Add Processing Fee Rule.

Fee Amount - You can specify a percentage and flat dollar amount to be applied to the payment. For example, you can add 2.9% + $0.30 to every payment. A $100 payment would include a $2.90 + 0.30 for a total processing fee of $3.20. To just charge a flat %, specify the $ section to 0.

Payment Method - Select the payment method this fee should apply to.

Process Method - Select a processing method if this rule should only apply to a specific method. For example, if you want to charge this processing fee on all credit card payments regardless if it was manually entered swiped on a terminal, etc, just select ALL. However if you want to charge a different processing fee for payments where the credit card number was manually entered vs when the credit card was swiped on the credit card terminal, specify the desired method for this rule and create a separate rule for the other method.

Min Amount - If you only want to apply this processing fee rule to payments $5 and greater for example, enter 5.00 so no processing fees will be added to payments under 5.00. Leave this blank to apply this rule to all payment amounts.

Click Save, the the rule is created!

Once all rules have been created, click and drag on the 3 dot icons to reorder the rules. The rules will be evaluated from top to bottom for new payments so the topmost rule that matches all criteria will be the one used.

Processing fees in action

When adding a new payment, a yellow box with information about the processing fee will be visible if a processing fee rule has been applied:

So in this example, the payment is for 5.00, however since a processing fee rule has been applied, the actual amount being processing through the credit card will be 5.44, so this is the amount the customer would see on their credit card statement.

When viewing payments, you can easily see if a processing fee was added to that payment. In this example, you can see the original payment was for 5.00, however with the added processing fee, the total was 5.44:

Certain reports like the Payments report also clearly show the base payment amount (5.00), the processing fee (0.44) and the Total including the processing fee (5.44):
