Setting up your Gmail account to send emails

To set up your Gmail account to send emails from OrderTrac, go to File > Preferences and on the Reports tab, enter the following fields:

From Email (1): Your email address you want to send emails from
Reply to Email (2): If you want replies to come to a different email, enter that email address here
Password (3): Enter the password to you From email address
SMTP (4): smtp.gmail.com
Port (5): 587
Encryption (6): SSL

Test the settings

To test the settings, enter an email in the To Email (7) box in the Daily Reports section. Then, click the Send Email Report (8) button. If all settings are entered correctly, you will get an “Email Successfully Sent” message. If there was an error, make sure you entered your email and password correct, as well as all the other settings. If you still get a failure message, follow the steps in the next section.

Create app password

Because of Gmail’s security settings, you will need to update a few security settings in order to be able to send emails through OrderTrac.

First, you will need to enable 2 step verification. To do this, log in to your Gmail account and click the icon on the very top right and click Manage your google account.

Then, click on Security on the main menu.

Next, click 2-Step Verification. If it is already turned on, you can skip this step and go straight to the step below where you create an app password.

You may have to sign in and you will probably have a code texted to you. Follow the prompts to complete enabling 2 step verification. When you get to step 3, you will see the following where you can click Turn On to finish turning on 2 step verification.

Finally, go back to the main page by clicking the back arrow button:

Next, you will create an app password. Click App Passwords to begin.

Next, in the Select App dropdown, select Other (Custom name).

Next, enter “OrderTrac” as the name and click Generate.

Enter a name and click Generate

You will now see your app password in the yellow box:

Copy this password and paste it in the password field in OrderTrac (Settings > Preferences > Reports tab). Click Send Email Report to test the settings.

Update Security Settings (NO LONGER SUPPORTED)

This settings is no longer supported. If you completed the above steps for creating an app password, you can skip these steps as they no longer apply.

Sometimes, google will block apps like OrderTrac to send emails on your behalf. In order to tell Gmail to allow this, follow these steps:

  1. Log in to your Gmail account, and click your account image on the top right of the page, then click Manage your Google Account

2. Next, click Security from the main menu on the left, then click Turn on access under the Lass secure app access section

3. Finally, click the toggle button to turn on access to less secure apps

Now, return to OrderTrac preferences and try sending an email again. This time, it should go through and say Email Sent Successfully!
