User Groups

User groups are how you easily manage permissions for account users. You can create a user group for administrators, one for salespeople, and one for warehouse workers for example. This would allow you to control what data and what features each group has access to.

To create a new user group, navigate to Account > User Groups. Click Add User Group to create a new user group. Give the group a name that identifies this group.

General Permissions & Reports

Next, select the checkbox for each item in the list this group should have access to. If the View Reports permission is checked, you can then select individual reports this user group has permission to.

IP Address Whitelist

If you want to restrict where this group can access OrderTrac, you can enter one or more IP addresses in the IP Address Whitelist. This means only computers with an IP address in this list will be allowed to access OrderTrac. If you only want this group to be able to access OrderTrac from your store, enter the IP address of your store. This will prevent any user from this group from logging in from any other location such as their home. If you are unsure of what your IP address is, go to https://www.whatismyip.com/ from a computer at the location you want to restrict access to. Your IP address will be listed at the top next to My Public IPv4.

NOTE: It is possible your IP address will change periodically. If this happens and the new IP address is not in the IP Address Whitelist, those users will not be able to access OrderTrac. Most internet service provides offer a static IP address at an additional price which means your IP address will never change.

Assigning a User Group to Users

Once you have set up all your desired user groups, next you will want to assign a user group to each user. To do this, go to Account > Users and select a user. In the User Group dropdown, select the appropriate user group for this user.
